Timesheet / Time Card Calculator adds up your worked hours row by row, separates regular time from overtime, and optionally calculates gross pay. Enter a clock-in time, a clock-out time and a break duration for each shift, and the running total appears below the table. Up to 14 rows fit in a single session.

Two overtime rules run simultaneously. Daily overtime kicks in after 8 hours in a single shift — any minutes beyond 480 count as overtime regardless of the weekly total. The weekly cap then checks whether regular hours across all rows exceed 40; if they do, the excess moves to overtime too. Both rules match the calculation method used by most US and UK payroll systems for hourly workers.

Worked Example: a Standard Week

Press Load Sample and the calculator loads a Mon–Fri schedule: clock-in 09:00, clock-out 17:30, 30 minutes break each day, with Friday finishing at 17:00 instead. The per-row worked column reads 7 h 0 m for each of the first four rows and 7 h 30 m for Friday — a total of 37 h 30 m regular, 0 overtime. No row exceeds 8 hours, so the daily cap never triggers, and 37.5 h is under the 40-hour weekly threshold.

Add an hourly rate of $20.00 and the pay panel appears: $750.00 regular pay, $0.00 overtime, $750.00 total. Change Friday’s clock-out to 20:00 (an 11-hour day with a 30-minute break) and that row immediately shows an OT badge — 8 h regular and 2 h 30 m overtime. The weekly summary recalculates at once.

How the Math Works for Overtime

  • Daily cap first: each row’s worked minutes are split at 480 (8 hours). Everything above 480 is overtime immediately, regardless of the weekly running total.
  • Weekly cap second: after all rows are processed, if the sum of regular minutes exceeds 2,400 (40 hours), the excess is moved from regular to overtime. This catches weeks where no single day hit 8 hours but the total crossed 40.
  • Overtime pay is calculated at 1.5 times the hourly rate. Regular pay uses the base rate. The pay panel appears only when a rate is entered; leave the field blank to see hours only.

Edge Cases Worth Knowing

  • Night shifts are handled automatically. When clock-out is earlier than clock-in (for example, 22:00 in and 06:00 out), the tool adds 24 hours to the out time, giving a correct 8-hour shift rather than a negative result. The error message “Clock-out is not a valid HH:MM time” only appears when the field content is not a valid time string, not for midnight-crossing shifts.
  • Break longer than the shift. If break minutes exceed the total clock-in-to-clock-out span, the tool shows “Break of N m exceeds the X h Y m shift.” The summary is suppressed until every row is valid or empty.
  • Empty rows are skipped. Leaving a row’s clock-in and clock-out both blank contributes zero to the total without triggering an error, so you can add rows in advance and fill them in as the week progresses.
  • Decimal-hours toggle. The display switches between the natural H h MM m format and decimal hours (e.g., 7.50 h) for pasting into a spreadsheet or invoice. Both formats represent the same value — 450 minutes displays as either 7 h 30 m or 7.50 h.
